GENERAL POLICIES:

ADMISSION

At Magnolia International Prep Academy, admission is based on a first- applied, first-accepted basis.

Special considerations are given to siblings.

We have a limited number of spaces available for each age group in order to keep an appropriate student to teacher ratio. Upon receiving of your application, we will schedule a pre-screening session.

You will be notified within 48 hours.

PRE-SCREENING

Once you submit your application, we will set up an appointment for a FREE Screening session to assess you childfs developmental level in the following areas: Cognitive, Language, Small and Large Motor Skills and Social & Emotional Skills.

DEVELOPMENTAL CHECKLIST

Three times each year we review each child individually to chart their progress to ensure that they are on track and progressing as scheduled. We use a comprehensive nine page checklist that checks for competencies and objectives. If we feel that a child is not where they should be, this allows us to spend extra time working with them to get to where they should be.

ENROLLEMENT

All Enrollment Form, Information and Fees must be submitted and paid for once Acceptance is given and prior to the first day of class.

WITHDRAWAL

In the event that you must withdraw your child for whatever reason, we require a 30 days written notice.

STUDENT RECORDS

All student records are considered confidential and will only be released to the childfs teacher, school director or the parents/guardian of the child.

WEEKLY REPORTS

We provide weekly mini-reports on your childfs activities and progress. You may contact us at anytime or request a meeting anytime during our normal hours of operation. Please allow at least 24 hours notice when possible.

ASSESSMENT

Parent-Teacher Conferences will be held at the end of each Term. However, if we see a need, we will make time available for mid-term conferences.

DROP OFF PROCEDURES

Our door is open at 8:30 a.m. The Preschool program begins at 9:00 a.m. Transportation is not provided to and from school. During flu season or illness outbreak, we will check each childfs temperature at drop off time to prevent further spread of illness. If your child is found to have an elevated temperature, we will ask you to take him/her back home to rest and recover (See ILLNESS POLICY).

DEPARTURES

Our Preschool program dismissal is at 3:00 p.m. sharp. Any child needing to be picked up after 3:00 p.m. will be charged an additional 1,500 JPY per hour fee unless he/she is registered in our full time care program.

PICK-UP PROCEDURES

A child will only be released to their parent(s) or registered guardian(s) (listed in the studentfs file). If a child needs to be picked up by someone other than the parent(s) or registered guardian(s) in case of emergency or illness, prior written authorization is REQUIRED.

In the event that someone other than an authorized person (listed in the studentfs file) will be picking up a child, prior written notice MUST BE received from the parent(s). A photo ID will be required prior to releasing the child.

ABSENCES

Our preschool program is a 3, 4 or 5-days per week program due to all the material we cover in the year. If your child will be absent from school, notification should be given as soon as possible. There will be no make up classes or tuition credit for missed classes.

EARLY DISMISSALS/LATE ARRIVALS

If your child has to arrive late or leave early from school for appointments, emergencies or family needs, please notify us by phone or in writing prior to the event.

CONFLICT RESOLUTION

If parents have complaints, concerns, disagreements or questions regarding our policies, procedures, philosophy, staffing or student body, you are asked to address these only with the director. You will be provided with an appointment As Soon As Possible.

DRESS CODE

Please dress your child appropriately for the season because we visit neighborhood parks daily.

LUNCHES

There are two options for lunches.

Option 1

School Lunch - You may purchase school lunches at 500 JPY per day. We provide balanced healthy and child friendly lunches. Our monthly lunch calendar is available for view each month.

Option 2

Home Lunch ? You may provide a healthy well balanced lunch from home, which should include a variety of the following foods: dairy, fruits, grains, protein and vegetables.

Please do not send any foods containing peanuts/nuts due to the danger of allergies.

Please do not send junk foods or sweets except on special occasions but please notify the school prior to sending these items.

SNACKS

We will offer the children a healthy snack in the afternoon each day. This is included in your tuition and fees payment. Please indicate (in your childfs file) any allergies your child has so we can keep them safe.

BIRTHDAY CELEBRATIONS & SPOTLIGHTS

We will spotlight children throughout the year during their birth month or week. For the childfs birthday, we will have a celebration for the school in their honor, which will include cupcakes and a special hat they can wear all that day. If there is a child with food allergies, please provide a treat for us to give to them during this time so they donft feel left out.

CELEBRATIONS & SPECIAL OCCASIONS

Throughout the school year we will have various opportunities to celebrate cultures, holidays and festivals. Parents are welcome to come and share with the group their heritage and culture. If you are interested in doing that, please notify us ahead of time so we can schedule it in our calendar.

HEALTH & SAFETY

The health and safety of all our children, parents and staff is of the utmost importance to us. We promote the health and safety of everyone by making sure our classrooms, workstations and bathrooms are cleaned daily and more if necessary. Our toys and equipment have met safety standards as in the US and Japan. We cleaned and disinfected them with environmentally friendly and safe products. They are cared for daily and throughout the day where applicable. Head lice infestation can be a major inconvenience. In order to prevent an outbreak, we check each childfs scalp regularly as a precaution by looking behind the ears and the hairline right above the neck for any signs. We will notify parents if we suspect an infestation. There are natural, safe remedies we can recommend.

INSURANCE

At Magnolia International Prep Academy, the safety of you and your children and our teachers and staff is of utmost importance. You can feel secure knowing that our school is fully covered by our accident insurance policy.

ILLNESS

If your child is displaying signs of illness or is sick, please do not bring them to school to prevent the illness from spreading. Childrenfs temperature will be checked each morning to promote the health and safety our all. If a child becomes ill suddenly after school has started, we will notify the parent for them to be picked up immediately and taken home to rest and recuperation. Any child being sent home must be free of illness or symptoms for at least 24 hours before returning to school at which time they will be assessed. For contagious diseases, a written doctorfs clearance must be presented to the director or teacher before the child can return to school.

MEDICATIONS

We realize that once a child is safe to return to school after an illness, occasionally they still have medication to take during the school day. We would prefer to not have to dispense medication at school but realize that there are some exceptional cases. Please speak to the director regarding you individual needs. A gMedication Dispensary Formh must be filled out completely and all medication must be labeled by the pharmacy with the childfs name and info on it and within the expiration date. For over-the-counter medications, we also require a gM.D.F.h For safety reasons, the school cannot provide any intake or topical medications (even over-the-counter) for you child. In the case of allergic reactions, we can dispense whatever you provide based on what you disclosed on your childfs application form.

MEDICAL EMERGENCIES

If a serious medical emergency occurs, we will contact 119 (Japanfs version of 911). Our trained staff will be able to administer basic first aid until 119 arrives. Parents will be contacted immediately using the contact info provided in the studentfs file. We ask that parents please keep contact info updated at all times.

OUTINGS & SCHOOL FIELD TRIPS

We have neighborhood outings and school field trips that we schedule throughout the school year. Some of these are planned for individual classes and some are planned for the entire school.

We will provide all the details on each trip in advance so that parents can make plans. Parents are always welcome to accompany us on any of these activities. On field trips for larger groups, we request parents to assist by accompanying us and perhaps providing assistance with transporting the children. Parents will be required to sign a permission slip in order for us to take their child on any Outing or School Field Trip except on our daily neighborhood park visits.

In the unlikely event that an emergency or natural disaster occurs while we are out, we will follow our disaster plan described below in gSCHOOL DISASTER PLAN OF ACTION.h

Whenever we leave the school building, we take our emergency contact list with us so that we can easily contact parents regarding any situation we may face.

PERSONAL ITEMS

Please keep personal items at home to avoid confusion and stress. We cultivate an atmosphere of family and community at school where we want to encourage cooperation and problem solving. In order for this to work, we need the children to feel a sense of caring and sharing with each other instead of feeling that they will loose something very special to them.

SCHOOL DISASTER PLAN OF ACTION

We are prepared to provide for the needs of our students and staff in the event of a natural or man-made disaster. We conduct Fire Drills and other emergency drills scenarios on a monthly basis so that in the event that something should happen, the children (and staff) will feel at ease knowing what to do. Our faculty and staff are kept up to date with First Aid and CPR training. We keep first aid and emergencies supplies at the school. We have a three-day supply of water and food at school in case of emergencies. Our first floor has been reinforced so in the event of an earthquake, we will evacuate to the first floor and remain there for further instructions. We have enough supplies to keep the children for overnight if we need to. You will be kept informed and updated as things progress. Please keep us informed of your situation as well.

VACATIONS AND HOLIDAYS

Our school serves students and families that are enrolled in just the gPreschool Onlyg program (9:00 ~ 15:00) as well as those enrolled in the gFull Timeh program (8:30 ~ 18:30) and gAfter School Careh.

We realizes that our teachers and staff have families of their own and we want to support them in having time to celebrate the following vacations and holidays with them: One week at the end of the year starting with December 23 through the beginning of the year including New Years Day, All official Japanese holidays, and 3 days for Golden week, one week off for Spring, and Summer break is Mid June to beginning of September. If your child is enrolled in full time care, we will still have staff at school to provide excellent care for them. If your child is enrolled in the gPreschool Onlyh program and you need them to come to school during the breaks and holidays, we can continue to provide excellent care as well for a minimal fee. Please ask us for our special rate for our students. We do offer seasonal programs during the regular Spring, Summer, and Winter Breaks.

DISCIPLINE

Redirection of Child Behavior

We use positive guidance and redirection to help your child to cultivate appropriate choices. We believe as they are able to choose right actions and behaviors, they will develop empathy for others. We teach the children to make acceptable choices in their conflict resolutions. We teach them to think about their actions and ask gWas this a good choice or a bad choice?h and gWas that helpful or hurtful?h Then when they have thought about it, we ask them gHow can you help him/her to feel better?h We believe children are amazing problem solvers if we allow them opportunity to process their choices and actions.

Violence and Disruptive Behavior

Although it may be alarming and worrisome at times, we realize that violence or disruptive behaviors are sometimes a common occurrence with small children. There could be various reasons for such behaviors including, but not limited to, FEELINGS of Anxiety, Curiosity, Frustration, Lack of Autonomy, Lack of Control, WANTING: to Control, to Explore, to Imitate, to Interact with Peers or Teachers, etc.

Sometimes these feelings and wants can be magnified if the child is frustrated, teething, tired or over-stimulated.

When these things occur:

Often if there are changes to the childfs routine at home, we will see signs of this during school hours.

If we see the same negative behavior frequently being repeated by the same child towards other students or teachers, we will ask for a gParent & Directorh meeting to discuss what might be going on in the childfs life to see if we can come up with a gPlan of Actionh to alter the situation at school. For the childfs continued enrolment, parents will need to agree to the gPlan of Actionh terms of the intervention plan.
